We are seeking a dynamic Inside Sales Receptionist to join our team at Classic Party Rentals of VA, a leading provider of party and event rentals. As an Inside Salesperson, you will be responsible for driving sales through effective communication with customers, providing exceptional service, and ensuring client satisfaction, while being a key support contact for related departments. This role is crucial in promoting our extensive range of rental products and services to both new and existing customers while supporting the success of the Sales Department. Key Responsibilities:

  • Customer Interaction: Engage with customers via phone, email, and potentially in-person showroom appointments to understand their rental needs and recommend suitable inventory options.
  • Sales Generation: Actively pursue sales opportunities, follow up on leads, and convert inquiries into confirmed orders. Meet or exceed sales goals set by management.
  • Product Knowledge: Develop a thorough understanding of our rental inventory including tents, tables, chairs, linens, tabletop options and all other categories. Provide accurate information/descriptions and pricing to customers.
  • Quoting and Proposals: Prepare detailed price quotes for customers. Compare with competitors’ quotes as needed to remain competitive.
  • Order Processing: Efficiently process orders with accurate information as incorrect information delays all departments. Ensure all orders are paid on time according to individual terms. Coordinate with the operations team for timely delivery and setup of rental equipment.
  • Customer Service: Resolve customer concerns and issues promptly and professionally. Maintain strong relationships with individual customers to encourage repeat business and referrals. Follow up after all orders asking for feedback.
  • Market Knowledge: Stay informed about industry trends, competitor activities, and market conditions. Use this knowledge to identify opportunities for growth and improvement.
  • Outside Sales Department Support: Primary contact for the Outside Sales Department. Provides support, communicates clearly, and is a reliable source for back up assistance. Consistently prepared to handle time sensitive requests.
  • Administrative Tasks: Maintain accurate records of sales activities, customer interactions, and transactions using our CRM system. Prepare reports and updates for management as required. Run daily tasks always staying ahead of any logistic issues and avoiding last minute order modifications.

Education, Skills & Requirements 

  • Proven experience in sales, preferably in the event rental industry or a related field.
  • Effective communication and interpersonal skills with the ability to build rapport quickly.
  • Excellent teamwork skills focused on the advancement of the company.
  • Detail-oriented with good organizational abilities.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficiency in MS Office suite (Word, Excel, Outlook) and experience with CRM software.
  • High school diploma required; additional education or certification in sales or marketing is a plus.
  • Social media experience preferred.

Working Conditions 

This position primarily involves working in a general climate-controlled office setting with extended periods of sitting at a desk or computer. Some tasks may be conducted in general warehouse conditions, where work areas may not always be heated or air-conditioned. Exposure to varying temperatures is possible.

The typical hazards of a warehouse environment, such as moving equipment (crates, dollies, racks, etc.), exist in certain areas, and caution is necessary. Most mechanical equipment used is electrical, with some being gas-fired. There is potential exposure to moving belts in specific departments.

Occasionally, there may be exposure to chemicals such as gasoline, diesel fuel, propane, and cleaning solvents. Propane exposure is a recognized hazard, and the ability to detect such chemicals by smell is required.
