Job Title and Overview
The Order Processing Associate is responsible for efficiently scanning, renaming, combining, and filing order-related paperwork in our digital filing system, File Center. This individual will ensure that all paperwork is complete and properly filed, with a focus on identifying and addressing orders with missing inventory items or balances due. The position requires close collaboration with department team leads and the warehouse manager to maintain accurate order records and support accounts receivable functions. This position reports to Warehouse Manager and Accounts Receivable Administrator.
Key Responsibilities:
- Scanning & Filing:
- Scan all necessary paperwork related to orders.
- Rename, combine, and organize digital files as needed within File Center.
- Ensure completed orders are accurately filed in the appropriate location.
- Missing Inventory Handling:
- Review orders for missing items in collaboration with department team leads and the warehouse manager.
- Create missing inventory invoices for orders with discrepancies and ensure accuracy.
- Invoicing Preparation:
- Identify orders with outstanding balances.
- File orders requiring invoicing in a designated folder for the Accounts Receivable Administrator.
- Ensure the timely processing of orders needing follow-up invoices.
- Team Collaboration:
- Communicate with department team leads and the warehouse manager to verify order completion and address missing items.
Education, Skills & Requirements
- Technical Skills:
- Experience with standard office equipment (e.g., scanners, copiers, computers).
- Familiarity with Microsoft Windows computer systems and Microsoft Office Suite.
- Previous experience with File Center or similar digital filing systems is a plus.
- Skills & Abilities:
- Strong attention to detail and organizational skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Manual dexterity and physical ability to safely handle paperwork and related tasks, including close attention to safety regarding propane rental items.
- Ability to see, read, write, and use office equipment safely and effectively.
- Excellent communication skills, both written and verbal.
- Awareness of safety measures related to propane rental items and other inventory concerns.
Working Conditions
This position primarily involves working on-site in a general climate-controlled office setting with extended periods of sitting at a desk or computer. Some tasks may be conducted in general warehouse conditions, where work areas may not always be heated or air-conditioned. Exposure to varying temperatures is possible.
The typical hazards of a warehouse environment, such as moving equipment (crates, dollies, racks, etc.), exist in certain areas, and caution is necessary. Most mechanical equipment used is electrical, with some being gas-fired. There is potential exposure to moving belts in specific departments.
Occasionally, there may be exposure to chemicals such as gasoline, diesel fuel, propane, and cleaning solvents. Propane exposure is a recognized hazard, and the ability to detect such chemicals by smell is required.
Working Hours & Schedule:
- Part-Time: Average of 20 hours per week.
- Flexible hours within the 8:30 AM – 5:00 PM timeframe, Monday through Friday.
- Monday and Thursday are typically the busiest days.

- Previous experience in order processing, digital filing, and working with teams across departments is preferred.

- The Order Processing Associate position starts at $15.00 per hour and is Part Time, with an average of 20 hours per week.
